1. The Problem Space

The agency was attempting to execute modern healthcare campaigns on legacy infrastructure. On-premise file servers severely bottlenecked hybrid collaboration, while fragmented, siloed usage of core MarTech platforms (Veeva, Adobe) exposed the agency to significant compliance risks and delayed MLR reviews.

Furthermore, executive visibility was entirely compromised. Reporting on agency utilization, burn rates, and profitability was trapped in static spreadsheets, forcing leadership to make strategic operational decisions based on delayed, backward-looking data.

2. My Role

As the agency's Privacy Champion and MarTech leader, I orchestrated a complete digital transformation of our operational infrastructure. This wasn't simply an IT migration; it was a fundamental rewiring of how over 100 cross-functional users collaborated, governed regulatory data, and measured business health—all executed without a single day of operational downtime.

3. The Approach

My thesis for this transformation was simple: True modernization isn't about moving files to the cloud; it's about governing how people work. If we standardize our MarTech stack, migrate our unstructured data to a compliant environment, and centralize our telemetry, we can eliminate bottlenecks and guarantee compliance.

Enterprise Cloud Migration

Spearheaded the secure migration of all on-premise file systems to Egnyte. I selected Egnyte specifically over standard alternatives for its advanced administrative controls, allowing us to establish strict, brand-specific permission groups that maintained rigid client firewalls.

MarTech Pipeline Governance

Standardized asset tagging and routing in Adobe Experience Manager (AEM) and optimized closed-loop marketing workflows in Veeva CRM/CLM. This ensured that all digital assets were cleanly formatted and MLR/PRC-ready before they ever hit the regulatory review queue.

Automated BI Telemetry

Interviewed executive leadership to map true operational KPIs, stripping away vanity metrics. I then built automated data pipelines connecting time-tracking and financial software directly into Power BI and Domo, generating real-time, interactive leadership dashboards.

Security & Risk Auditing

Mapped data flows across 10+ simultaneous active workstreams to identify vulnerabilities. Proactively designed the new infrastructure to meet and exceed HIPAA-equivalent regulatory frameworks and strict pharma-grade compliance standards.

5. What I'd Do Differently

While our quarterly manual audits were highly effective at maintaining security, we would define an architecture that would integrate automated PII/PHI scanning tools directly into the AEM-to-Veeva content pipeline. This would allow the system to catch compliance flags programmatically in real-time before formal MLR submission, further reducing human review hours.

Additionally, I would shift the Power BI dashboards from reactive reporting to proactive capacity planning. By integrating predictive modeling against upcoming project pipelines, the system could forecast resource bottlenecks and burn-rate risks weeks before they actually occur.
